Job Description

Ultimate Staffing is partnering with a leading national services organization to recruit for a Maintenance Coordinator to support scheduling, vendor communication, order management, and maintenance operations for national customers. This role is ideal for someone who is detail-oriented, proactive, and thrives in a fast-paced, service-driven environment.

Key Responsibilities:
  • Build strong, professional relationships with subcontractors, vendors, and customers
  • Communicate via phone and email to address questions, provide updates, and resolve issues
  • Schedule and coordinate preventative maintenance (PM) services, ensuring timely and accurate delivery across multiple customer accounts
  • Serve as a liaison between vendors and customers, negotiating PM service terms and maintaining clarity on inspection and testing requirements
  • Maintain accurate records of PM schedules, site details, and compliance information in internal and customer systems
  • Identify issues proactively and offer solutions to maintain uninterrupted inspection/testing schedules and ensure customer satisfaction
  • Track all open and closed work orders and update status notes in the work order system (Great Plains)
  • Provide detailed schedule updates, estimated completion dates, and close-out information
  • Communicate status of work orders to affiliates and customers, following up regularly to ensure accurate and timely completion
  • Obtain inspection purchase orders from customers and dispatch inspection work orders accordingly
  • Monitor inspection completion progress on a weekly basis

Qualifications:

  • Associate's degree or equivalent experience in customer service, vendor management, or related roles
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Excel, Outlook) and Adobe; experience with Microsoft Teams or Microsoft Dynamics Great Plains is a plus
  • Ability to work in a fast-paced environment and interact professionally with customers, vendors, and internal teams
